Logistics Technician

About the Role

The Logistics Technician is a non-supervisory position that works both independently and as a part of the logistics team.

The Logistics Technician is appointed by the Chief Executive Officer.

The Logistics Technician reports directly to the Division Chief | Logistics at Washington County Ambulance District.

Duty hours will be subject to the needs of the District.

The Logistics Technician could have multiple working locations based on the needs of the District but will primarily be based at WCAD Headquarters.

Description of Primary Duties and Responsibilities

• Monitor inventory levels of medical supplies, pharmaceuticals, and equipment on apparatus and in storage.
• Monitoring compliance, that each apparatus is properly stocked with necessary supplies at all times.
• Perform periodic counts of inventory to ensure accurate records and prevent shortages or overstocking.
• Ensure that medical supplies, medications, and equipment are within their expiration dates and safely disposed of when expired.
• Respond to requests from various departments for supplies, equipment, or vehicle maintenance.
• Provide regular reports to supervisors or department heads on inventory levels, equipment status, and supply usage.
• Regularly inspect and maintain medical equipment (e.g., defibrillators, stretchers, oxygen tanks, etc.) for functionality and safety.
• Schedule and track repairs for broken or malfunctioning equipment, ensuring minimal disruption to apparatus operations.
• Maintain a detailed inventory of apparatus, tracking mileage, fuel levels, and maintenance schedules.
• Ensure all apparatus are maintained and undergo routine inspections, oil changes, and repairs as necessary.
• Keep records for all apparatus, including maintenance logs, insurance, and registration documents.
• Document any incidents of equipment malfunction, accidents, or supply shortages, ensuring that appropriate corrective actions are taken.
• Adhere to local, state, and federal regulations for medical supply storage, equipment maintenance, and handling hazardous materials.
• Ensure that medical supplies, including medications and chemicals, are stored according to safety standards and guidelines.
• Assist in logistics operations during large-scale emergencies, ensuring adequate resources are available.
• Operate and maintain inventory and logistics management software, ensuring it is accurate and up-to-date.
• Stay informed about new logistics technologies or systems that could improve efficiency and effectiveness in the District.
• Help identify opportunities for cost-saving without compromising the quality or safety of supplies and equipment.
• Monitor and track logistics-related expenses to stay within budget constraints as directed.
• Ensure accurate data is available to ensure compliance and improve processes.
• Attend multi-disciplinary meetings as assigned by the Division Chief | Logistics.
• Gather necessary information for grant reporting as directed.
• Work closely with other teams (e.g., medical staff, operations, maintenance) to ensure seamless logistics operations.
• Other duties as assigned by the Division Chief | Logistics.

Description of Secondary Duties and Responsibilities (Cross Training)

• Manage patient appointment scheduling, including follow-ups and rescheduling when necessary.
• Monitor and track transportation schedules to ensure punctuality and avoid delays for patients.
• Keep accurate records of all transportation requests, schedules, and patient information.
• Troubleshoot and resolve any issues related to transportation services, including delays or cancellations.
• Confirm transportation arrangements with patients and provide details about pick-up times and locations.
• Collaborate with healthcare providers to ensure that patients are transported to appointments in a timely and efficient manner.
• Record and transmit call information efficiently using communication and dispatch systems.
• Maintain a working knowledge of HIPAA regulations.
• Ensure confidentiality and security of patient information in compliance with HIPAA regulations.
• Receive calls via radio or telephone, following all protocols and checklists for effective responses and coordination.
• Track all resources to ensure provider safety and efficiency to multiple operations (MIH / EMA).
• Deliver excellent customer service to all patients and clients in a clear and concise manner.
• Document and transcribe patient information accurately.
• Conduct outreach and engagement with community members to promote health education and awareness.
• Assess the health needs of individuals and families, providing support and guidance to access appropriate services.
• Facilitate communication between patients and healthcare providers, helping to navigate the healthcare system.
• Provide information on health resources, including preventive care, screenings, and treatment options.
• Work with providers to develop and implement a health management plan customized to individual needs of clients to set achievable health goals.
• Collect data and maintain accurate records of client interactions and health outcomes.
• Collaborate with local organizations and agencies to enhance community resources and support networks.
• Participate in training and continuing education to stay informed about public health issues and best practices.
• Advocate for individuals and families to ensure they receive necessary services and support.

Qualifications for Position

• High School Diploma or GED equivalent.
• Associates or bachelor’s degree preferred.
• Must have experience in business office functions and data entry.
• A valid driver’s license is required.
• Ability to lift and carry medical equipment or supplies (may need to lift objects up to 50lbs or more).
• Comfort working both in an office setting and in outdoor environments, or possibly in maintenance settings for vehicles.
• Experience in logistics, inventory control, or similar fields is preferred.
• Familiarity with the medical equipment and supplies typically used in ambulances.
• Up-to-date certification in CPR, AED and first aid.


Skills and Knowledge Required

• Proficiency with inventory control software.
• Basic understanding of vehicle maintenance, especially for emergency vehicles, to ensure proper functioning and safety.
• Precision in tracking inventory, equipment, and expiration dates of medical supplies.
• Understanding safety standards for handling medical equipment, hazardous materials, and maintaining compliance with industry regulations.
• Ability to manage multiple tasks and priorities effectively, especially during busy or emergency situations.
• Good verbal and written communication for interacting with ambulance crews, vendors, and other departments.
• Ensuring that all supplies are available on time and that equipment is maintained to avoid disruptions.
• Resolves problems in a timely manner; gathers and analyzes information skillfully; develops alternative solutions; works well in group problem solving situations and uses reason even when dealing with emotional topics. Must be able to communicate effectively with a diverse staff and community population.
• In all matters pertaining to hazards about the District, injuries to personnel or patients, disciplinary action regarding staff members, or any matter in which the public may have an interest, the Chief Executive Officer should be advised immediately of the complete facts and the Chief Executive Officer may request a written report.
